
Terms and Conditions: Wedding
Coordinating Services
These Terms and Conditions (the “Agreement”) are entered into between [Everlasting Vows ] (“Coordinator”) and the undersigned clients (“Client”) for the
purpose of providing wedding coordinating services.
1. Scope of Services
The Coordinator agrees to provide the services as outlined in the selected package or
custom proposal. These services may include, but are not limited to, vendor
management, timeline creation, and on-site coordination on the wedding day.
2. Payment Plan and Fees
The Client agrees to pay the total service fee according to the following schedule:
Deposit (10%): A non-refundable deposit of 10% of the total fee is due upon the
signing of this Agreement to secure the wedding date.
Mid-Term Payment (50%): A payment equal to 50% of the total balance is due
exactly six (6) months prior to the wedding date.
Final Balance: The remaining balance is due exactly six (6) weeks prior to the
wedding date.
Note: Failure to make payments by the due dates may result in a suspension of
services or termination of this Agreement.
3. Cancellation and Postponement
By Client: If the Client cancels the wedding or the services, all payments made to
date are non-refundable. If cancellation occurs within six (6) months of thwedding, the Client remains liable for the full 50% mid-term payment. If
cancellation occurs within six (6) weeks, the full balance is due.
By Coordinator: In the unlikely event the Coordinator must cancel due to an
emergency, a full refund of all payments (including the deposit) will be issued,
and the Coordinator will attempt to find a suitable replacement.
4. Force Majeure
Neither party shall be liable for any delay or failure to perform its obligations if such
delay or failure is caused by circumstances beyond their reasonable control, including
but not limited to “Acts of God,” natural disasters, pandemics, or government
restrictions.
5. Client Responsibilities
The Client is responsible for:
Providing all necessary information and documentation in a timely manner.
Ensuring all vendors are aware of the Coordinator’s role.
Providing a meal for the Coordinator and any assistants during the wedding
reception.
6. Liability and Indemnification
The Coordinator is not responsible for the failure of any third-party vendors to perform
their duties. The Coordinator’s total liability under this Agreement shall be limited to
the total amount paid by the Client for the services.
7. Media Rights
The Client grants the Coordinator permission to use photographs and videos from the
wedding for promotional and marketing purposes, including social media and the
Coordinator’s website, unless otherwise requested in writing 8. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of
